Ownership groups

An ownership group controls who can change an artifact — and who can always see all of it. For who can see data more broadly, see Scope groups.

Ownership groups are the stewards of governed data — and for Workbooks specifically, they’re who a publish request goes to when your workspace requires publish approval.

Note

An ownership group must have at least one admin (steward) — for Workbooks, that’s who approval requests go to. You cannot create an ownership group without one.

Warning

Viewers cannot be added to an ownership group. Demoting a member to Viewer removes their ownership memberships automatically.

Create an ownership group

  1. Go to Settings > Groups and click Add ownership group.
  2. Name the group.
  3. Assign at least one admin (steward).
  4. Add members, and assign the artifacts the group owns.

Adding and removing members

  1. Open the group you want to edit.
  2. Click Add Members, search for users by name or email, select one or more, and confirm.
  3. To remove someone, open the group, find their row, and click the remove icon.

Membership changes take effect immediately: members gain or lose edit rights and full visibility on the owned artifacts as soon as they’re added or removed. Access a user holds through other groups, or through their role, stays unaffected.

Deleting a group

Open the group and click Delete Group. Members lose the edit rights and full visibility that group provided on its owned artifacts. No user accounts are affected.

Note

A group’s kind is fixed at creation. You can’t convert a scope group into an ownership group, or the other way around — create a new group of the right kind instead.
